3.3 · Time Away from Work and Other Benefits
Paid Time Off (PTO) and Unpaid Time Off (UTO)
Regular full time and regular part time employees become eligible to earn paid time off (PTO) once they complete the 90 day initiation period. Part time employees accrue PTO on a prorated basis. PTO is intended for scheduled time away from work, such as vacations and personal business. It may also be used in place of otherwise unpaid time off during an authorized leave of absence, or for illness once an employee's sick leave balance has been exhausted. PTO is earned as service is performed and is accrued and scheduled under the rules below.
After the 90 day initiation period, Behavior Technicians and nonexempt (hourly) administrative personnel begin to accrue PTO at a rate of 0.033 hours per hour worked, unless a different rate has been agreed to in writing by the President or the Director of Finance.
After the 90 day initiation period, BCBAs and exempt (salaried) administrative employees begin to accrue PTO at a rate of 0.057 hours per full day of employment, unless a different rate has been agreed to in writing by the President or the Director of Finance.
PTO accrual is capped at one and one half times an employee's annual accrual amount. Once the cap is reached, no further PTO is earned until enough accrued time has been used to bring the balance below the cap. No retroactive credit is given for time spent at the maximum. It is each employee's responsibility to track their own PTO balance, which is shown on the paystub. Employees may also confirm their balance and its dollar equivalent with Human Resources.
The Company encourages employees to use PTO each year to rest and recharge, and reserves the right to schedule PTO for employees. The Company does not generally allow pay in lieu of time off, but may, in its sole discretion, choose to pay employees for earned, unused PTO at any time.
PTO and UTO requests should be submitted at least two weeks in advance, except in extenuating circumstances. Requests will be granted when possible, but will be scheduled in a way that ensures adequate coverage of jobs and staffing. The Company makes the final determination on all such requests.
Eligible employees may begin using accrued PTO after completing the 90 day introductory period. Exempt employees should report only full day absences for vacation purposes.
PTO pay is not counted in calculating overtime hours or overtime premiums. PTO does not accrue during unpaid leaves of absence or other periods of inactive service.
When employment ends, employees are paid for all accrued but unused PTO through their last day of work. PTO is paid out at the employee's regular rate of pay in effect at the time employment ends.
Temporary employees do not earn PTO.
